Breeding Administration

Dear breeders,
Below you will find an overview of the new online breeding administration system. The club’s aim is to minimise the administrative burden associated with breeding and save you as much time and effort as possible – so that you can devote both to raising beautiful, healthy and hardworking little retrievers, which is what matters most.

In the past, applications for mating certificates could also be submitted by post, as described here. This option is no longer available.

Where can I find the breeding forms?

• A) APPLICATION FOR A MATING CERTIFICATE (KL)
  
  • 📝 To be completed by the breeder when planning a mating.
  • What you need:
    
    • 🐕‍🦺 Select a female qualified for breeding
      Only females who meet all the required conditions will be displayed.
      • Podmínky:
        • ⏳ the female must be between 18 months and 8 years of age
        • 🚫 she must not have another open application for a mating certificate
          
        • ⚠️ for females over 7 years of age, the mating certificate is issued with a limited period of validity
          
          
    • 🐶 Select the stud dog
      You may select one or two stud dogs already registered in the system or add a new one.
      At least one stud dog must be specified. If you do not enter a second dog, the second position will remain available in case of an unforeseen event. After consulting the breeding advisor, the breeder may then add a replacement stud dog without having to apply for a new mating certificate.
      • 📞 Complete the contact details, kennel name and year
        • 📎 Foreign stud dogs
          Please attach a copy of both sides of the dog’s pedigree and proof that the dog is qualified for breeding.
          If the dog has already sired a litter registered in the Czech Republic, a link to the litter or a copy of an offspring’s FCI pedigree is sufficient.
        • 📎 Mating by artificial insemination
          Artificial insemination is permitted. It may only be performed by a professionally qualified person, and confirmation of the procedure must be attached to the completed mating certificate.
          Artificial insemination must never be used between dogs that have not previously reproduced successfully by natural mating.
          All requirements of the relevant ČMKU regulations must be observed.
        • 📎 Registering the litter under another kennel name
          When applying for a mating certificate for a litter that will be registered under a kennel name other than your own, please attach an agreement with the owner of that kennel name.
    • After submission:
      • ➡️ the application is forwarded to the breeding advisor
        
      • 📬 once approved, the mating certificate will be sent by email
        
      • ✨ a Litter Report entry will be created automatically
      • The standard processing time for a mating certificate is 30 days from the submission of a complete application. The fee is CZK 150.
        The EXPRESS option takes 5 days and costs CZK 1,000.
      • 📝 The owner of the female must print the mating certificate in three copies:
        one copy is given to the owner of the stud dog,
        one copy must be sent by post within 8 days to the breeding advisor responsible for the breed,
        the third copy must be submitted to the ČMKJ Stud Book together with the application for litter registration.

• B) LITTER REPORT
  • 🐾 To be completed within 10 days after the puppies are born.
    
  • Please provide:
    • 📅 the date of birth
    • 🐕 the stud dog – select one of the dogs listed on the approved mating certificate
    • 👶 the number of puppies born and reared, including their sex and colour
      
    • ⚠️ whether the puppies were delivered by caesarean section
      
    • ❗ any complications, strengths or shortcomings of the litter, defects found in the puppies, and any required litter inspection
    • ✔️ any additional notes for the breeding advisor
  • The system monitors the relevant deadlines:
    • ⏰ if no Litter Report has been submitted approximately 85 days after the mating, a reminder will be sent

• C) APPLICATION FOR LITTER REGISTRATION
  
  • Part 1: Request for registration numbers
    Once the Litter Report has been approved, the system will automatically create a record for the future Application for Litter Registration – Request for Registration Numbers.
    • 📄 Complete the puppies’ names in accordance with the rules below and enter their sex. Then print and sign the request and send it to ČMKJ within 25 days of the puppies’ birth.
      
      • #️⃣ Please enclose the following documents with the request for registration numbers:
        
        • the original Mating Confirmation (Mating Certificate), signed by the owners or keepers of both parents;
        • the original pedigree of the female, if this is her first litter;
          
        • a copy of the stud dog’s pedigree, including proof of his breeding qualification and health and other relevant results, if he is a foreign stud dog who has not previously been used for breeding in the Czech Republic;
        • a copy of the kennel name registration certificate/card, if this is the first litter registered under the kennel name.
    • ✔️ ČMKJ will return the Application for Litter Registration with the assigned ČLP registration numbers.
  • Part 2: Completion of the Application for Litter Registration
    Once the request for registration numbers has been created, the system will also generate the Application for Litter Registration.
    Complete this application after you receive the assigned registration numbers from ČMKJ.
    • The system will automatically pre-fill:
      • 📅 the litter details
      • 🐕 the parents
      • 🎨 the colours
      • 👤 the breeding advisor
    • For each puppy, enter:
      • 🏷️ name
      • ♀/♂ sex
      • 🔢 registration number
        
    • After submission:
      • 📧 You will receive an email containing the generated Application for Litter Registration.
        Add the microchip numbers, have the form certified by a veterinarian, sign it and send it to ČMKJ together with the request for the puppies’ pedigrees to be issued.
    • Additional information on the Application for Litter Registration
      
      • Enter only the puppies’ individual names in the name fields, not their names together with the kennel name.
        List the male puppies first, followed by the female puppies.
        The maximum length of a puppy’s name is 20 characters, including spaces and punctuation.

  • Export Pedigrees
    • If one or more puppies are being exported, complete a Request for the Issue of an Export Pedigree for each puppy.
      In this case, the breeder is the applicant requesting the export pedigree.
      In addition to the details of the individual puppy, make sure to provide the future owner’s full address.
      Send the completed request or requests to ČMKJ together with the Application for Litter Registration certified by a veterinarian when applying for the pedigrees for the litter.
